QR Code, RFID or NFC? Choosing an Event Check-in Method.
All three record who arrived. The difference is what the guest carries, what you need to prepare, and how many times a guest is checked during the event.

QR codes
Each guest receives a unique code by WhatsApp or email after signing up. On site, they show it from their phone or a printed invitation and staff scan it with a tablet or scanner.
A QR code needs no card or wristband, so there is nothing physical to produce and hand out. Guests already know the routine, so it barely needs explaining.
- Fits events where guests register beforehand and are checked once at the entrance.
- Keep name search as a fallback for guests whose phone is flat or who cannot find their code.
- Ask guests to save a screenshot of the code so they do not depend on signal at the venue.
RFID
Guests carry a card, badge or wristband with a chip. A reader picks it up at close range without lining up a code, so guests simply walk past or tap their badge.
Because the card or wristband has to be handed out first, RFID usually still starts at one registration point. Its advantage shows after that, when guests are checked again and again.
- Fits multi-day events, events with several sessions or rooms where attendance is counted, and restricted areas such as VIP.
- Budget for the cost and preparation of the cards or wristbands.
- Decide what happens when a card is lost or left at home.
NFC
NFC is a kind of RFID that works at very short range, with a tap. The difference is that phones can use NFC too. A ticket can live in Apple Wallet or Google Wallet and the guest simply taps their phone.
NFC suits events that want a modern way in without handing out cards, or events whose badges already carry an NFC chip.
Questions that decide it
Answer these and the choice usually becomes clear.
- Are guests checked once at the door, or again at every session and room?
- Is it a one-day event, or several days?
- Does everyone register beforehand, or will some walk in?
- Do guests need a physical badge during the event?
- Is there budget for cards or wristbands?
You do not have to pick one
Many events combine methods. A QR code for the first entry, for instance, with the badge printed at that moment carrying an RFID chip for later sessions. Or QR codes for general guests and RFID cards for VIPs.
Whatever the method, always have a fallback. Name search on a tablet is the simplest one, and a good system keeps recording attendance even if the venue's internet drops.

Can a QR code be faked or used twice?

Do guests need to install an app?

Which costs less?
QR codes are usually the most economical because there is nothing physical. Card or wristband RFID and NFC add the cost of the media, which pays off when guests are checked many times.
