Walk-in
Guests arrive unregistered and still get in fast.
The flow for guests who arrive unregistered. The key is not typing speed but lane separation: the moment one person registers at the same desk as the scanning queue, the whole queue stalls. Given its own lane, both keep moving.
Best forExhibitions, public events, invitations that bring extra guests.
Stages
How a Guest Moves Through It.
- 01
Arrival
Guests are routed to a separate walk-in lane so the main queue keeps moving.
- 02
Quick Registration
The form is cut down to essentials only.
- 03
Verification
Crew confirm the guest is not already registered before the record is saved.
- 04
Check-in
The guest is marked present and, if needed, a badge prints on the spot.
What You'll Decide
Three Things That Decide Whether It Runs Smoothly.
This flow has decisions best settled before sign-ups open rather than when the event is close.
- 01
Cut the form to the bone
On site, every extra field means a longer queue. Name, contact and organisation are usually enough. The rest can be completed after the event.
- 02
Guard against double records
A guest who forgot they registered will register again. The system checks for the same contact before saving, so the attendance report stays accurate.
- 03
Estimate the share, don't ignore it
Unplanned walk-ins are the most common cause of queues. We size the extra stations from an estimated share rather than from hope.
Before We Start
What You'll Need to Hand Over.
- A rough idea of how many guests will arrive without registering.
- The minimum fields that must be filled in on the spot.
- Whether walk-ins pay or come in free.
- A spot at the venue with enough room for the walk-in lane.
Don't have all of it yet? That's fine. We'll put the rest together in the first conversation.
Questions
About the Walk-in Flow.
Can walk-in guests fill in the form without crew?
Yes. A QR on a sign opens the form on the guest's own phone, so they fill it in while queuing and only need verifying at the desk.
Can walk-ins pay on the spot?
Yes, by QRIS or another method from the payment gateway, and the ticket is recorded straight away with nothing to re-enter.
Can walk-in guests get a badge straight away?
Yes. Once the form is saved, the badge prints at the same desk, in the same format as a registered guest's.
Not sure this is the right flow? Let's talk it through.
Plenty of events end up on a different flow than they expected, and that is normal. Tell us how your guests usually arrive and we'll help map it.
