How to Shorten Queues at the Event Registration Desk.
The registration queue is a guest's first impression of your event. The good news is that the causes are predictable, and almost all of them can be dealt with before the day.

Where queues come from
A queue rarely has a single cause. Usually several of these happen together.
- Guests arrive at nearly the same time, just before the start.
- Staff look names up on a paper list or a spreadsheet.
- Guest details are only completed at the desk.
- Registered guests and walk-ins share one queue.
- The check-in desk also handles goodie bags, door prizes or questions.
- A device or the internet fails and there is no fallback.
Move the work to before the day
The more that is done before guests arrive, the shorter the desk interaction. Ask guests to register in advance, complete their details then, and send the QR code by WhatsApp or email. On site, check-in becomes a single scan.
A reminder close to the day helps too. Say when registration opens and ask guests to have their QR code ready, so nobody is searching for it in front of the staff.

Guests with different needs should not wait in the same line. Set up separate lanes for registered guests, walk-ins and VIPs. Move goodie bag, souvenir or door prize collection to another point after check-in.
Clear signage and one person directing guests at the front of the queue often matter as much as adding another desk.

Badges can be prepared in advance or printed at check-in. Pre-made badges have to be found and handed out, while badges printed at check-in come out as soon as the QR code is scanned. Choose what fits your event, then lay out the desk around that choice.

A self check-in kiosk lets guests scan their own QR code and pick up their badge without waiting for staff. Staff stay nearby to help anyone who needs it, but they are no longer the only way through.
Have a fallback
Decide what happens when a guest has no QR code, is not on the list, or the venue internet drops. Name search on a tablet, one person authorised to decide special cases, and a system that keeps recording attendance offline will keep the queue moving.

Does adding desks always shorten the queue?
Not always. If each guest takes a long time because their details are looked up or completed on the spot, more desks only spread the same problem. Making each desk interaction faster usually matters more.
What about guests who cannot use a phone?
Keep a staffed lane where names are looked up directly in the system. The QR code can also be printed on a paper invitation for guests who prefer it.
